Batch Convert Office file formats to PDF

Batch Convert DOCX, XLSX, PPTX and VSDX Office files to PDF using ViewCompanion

With ViewCompanion Pro and Premium you can batch convert your office documents to PDF format.
Please note that the office document to PDF batch conversion do require that either Microsoft Office or LibreOffice is installed on your system.
LibreOffice is free software and it offers support for even more formats than MS Office; Microsoft Visio, WordPerfect and Lotus Word Pro.


The batch conversion feature in ViewCompanion is very easy to use, just open the dialog by pressing the Batch Convert button found in the Tools Tab, and then start adding files and folders. If you add a folder, all sub folders of this folder will be processed, and the tree structure will be maintained in the selected output folder. By default, all supported files in the folders will be processed, but you can configure ViewCompanion to process a specific file extension by using a file mask, for example "*.docx". The picture below shows a batch conversion dialog:

In this example, we have added two files and two folders to the batch. For the first folder, only files with the DOCX extension will be processed, while for the second folder, only VSDX (Visio Drawing) files are included. The desired output format is set to PDF.
You can save the list of selected files and folders to a file and reload it later.


After adding all the files and folders you want to convert, open the More Options dialog by clicking the button at the bottom of the window. This dialog contains various settings that control how the files are converted.
If you want the output PDF files to be PDF/A compliant, open the PDF section and enable the Create PDF/A Compliant Files option.

You can also select the desired PDF/A conformance level to meet your specific archiving requirements.

Adding Annotations

You can add annotations to the converted files by selecting an existing markup file in the dialog. The markup file can either be a previously saved file, or you can create one using the Software Companions XML Markup format. By using the XML format, you can add all kinds of markup elements, including text, stamps, images and barcode annotations.
Here is a simple XML file that adds a stamp with the text APPROVED at center of each page in each converted file:

The are several sample markup xml files included in the installation and You will find these in a folder named "C:\ProgramData\Software Companions\Viewcompanion Pro\Markup XML" or "C:\ProgramData\Software Companions\Viewcompanion Premium\Markup XML".
These files can be easily modified with a text editor, like for example Windows Notepad.
